🔗 An AI Receptionist That Integrates With Your CRM: What It Can Actually Do
"Does it integrate with my CRM?" usually means four different things. Here is what each one looks like on a real call, how the connection is built, which systems work, and the one rule that decides whether the caller notices.
A CRM-integrated AI receptionist recognises the caller by number, greets them by name, looks up their order, booking or balance during the call, and writes the outcome back as a note, a ticket or a new lead. Any CRM with an API, a readable database or a CSV export can be connected. The lookup must return in about 1.5 seconds or the pause is audible. We run this today for a machinery dealer's catalogue and orders and for a ride-hailing platform's driver records.
The four things "CRM integration" means
| Level | What happens on the call | What it needs |
|---|---|---|
| 1. Recognise | The caller's number is matched to a contact; the AI greets "Namaste Ramesh ji" and knows they are a customer, a driver, a student | Read access to contacts by phone number |
| 2. Look up | "Where is my order?", "When is my EMI due?", "Is my application approved?" answered from live data | An API or database query by ID or number, returning in under 1.5 s |
| 3. Write back | Call summary, sentiment and outcome saved on the contact; a ticket or task created for staff | Write access, with the AI's note clearly marked as AI-written |
| 4. Create and act | New lead created from an unknown caller; an order or booking placed; a follow-up scheduled | Create permissions and strict rules on what the AI may commit |
Most businesses want level 2 and get sold level 1. Ask any vendor to show a live lookup on a call, not a slide.
What it sounds like with a lookup
Callerहुन्छ, पठाइदिनुस्।
AISMS मा पठाएँ। अरू केही चाहिए यही नम्बरमा फोन गर्नुहोला।
Three lookups happened there: contact by phone number, the latest order with its lines and status, and the courier contact. Each returned in well under a second, which is why the conversation sounds like a person who has the screen open.
How the connection is built
- API adapter. For CRMs with a REST API (HubSpot, Zoho, Salesforce, Freshsales, Odoo, most custom ERPs). The AI calls a small function such as "get customer by phone" or "get order status"; the adapter maps it to the CRM's endpoints with your credentials.
- Database adapter. For in-house systems: a read-only database user and a few prepared queries. Common in Nepal and India where the "CRM" is a custom PHP or .NET system.
- CSV adapter. For a spreadsheet exported nightly. Good enough for a contact list and a price list; not for live order status.
- Catalogue index. Products are indexed separately so the AI can match "forty T blade" said in Nepali to the right item and its authoritative price.
All three adapter types exist in our platform and are swapped without changing the AI's behaviour. The deep-integration article goes further into the architecture.
The rule that decides whether it works: latency
A lookup that takes four seconds leaves the caller listening to silence and assuming the line dropped. Our lookups have a hard timeout of about 1.5 seconds; the AI says "one moment" before any query that might take longer, and if the system does not answer it says so and creates a ticket rather than guessing. If your CRM's API is slow, we cache the fields the AI needs (name, status, last order) and refresh them on a schedule.
What the AI may and may not do with your data
- Read only by default. Writes (notes, tickets, leads) are enabled per deployment and marked as AI-written.
- No money moves. The AI never issues refunds or changes payment details; it creates the case for a human.
- Verification before personal data. For anything beyond "your order is on the way", the AI confirms details you define before reading them out.
- Every lookup is logged with the call recording, so you can see what was read and why.
- Records stay in your region. Contacts, call records and recordings are stored in Nepal or India; live speech is processed on secured infrastructure, disclosed in writing.
What we run today
- A machinery dealer in eastern Nepal: catalogue lookups with the authoritative price, order creation with database-generated IDs, delivery orders, and follow-up calls that carry the last conversation's context. Case study.
- A ride-hailing platform's driver support: driver records by phone number, tickets with transcript and sentiment pushed to the ops team, 22,000+ calls a month. Case study.
- Municipal helplines: a staff-editable directory of about 50 officials that the AI both reads out and transfers to.
Cost
The AI receptionist is billed per minute of talk time, $0.03 to $0.06; integrations sit at the upper end because each lookup adds a processing step. The adapter itself is a one-time setup item, quoted by system: a REST CRM is a few days' work, a custom database about the same once we have read access, a core-banking or ERP integration longer. See the pricing page.
Example: what the AI knows about a returning caller
For a college admission line connected to its enquiry CRM, the AI sees, before it speaks, that the caller enquired about a bachelor's programme three weeks ago, was called back once, asked for a call after the festival, and prefers Nepali. The greeting becomes "Namaste Sita ji, you asked us to call back after Tihar about the IT programme, is now a good time?" instead of a generic script. The outcome of this call (visit booked, not interested, call again) is written back to the same record, so the counsellor sees the whole thread. On a shop line the same mechanism shows the last order, its delivery status and any open complaint.
Data minimisation, in practice
Give the AI only the fields a receptionist would have on screen: name, status, last interaction, open items. Not the full history, not payment details, not identity documents. A restricted database user or an API key scoped to those fields makes this a technical guarantee rather than a promise, and it keeps the data-processing record short. Access is logged per call, and the integration can be switched off from the dashboard without touching the phone line.
Checklist before you ask for a demo
- Which fields should the AI know about a caller? (name, status, last order, balance)
- Which questions need live data and which can be answered from documents?
- Does your CRM have an API, a database we can read, or only exports?
- What may the AI write back, and what must stay human?
- Who gets the ticket when the AI cannot resolve a call?
Bring those five answers to a scoping call and we can show a lookup on your own data within a week. Or hear the receptionist first: call the live demo line.
Frequently Asked Questions
Which CRMs can the AI receptionist integrate with?
Any system with a REST API (HubSpot, Zoho, Salesforce, Freshsales, Odoo and most custom ERPs), any database we can read with a restricted user, or a scheduled CSV export for contact and price lists.
Can it greet callers by name?
Yes. The caller's number is matched to a contact before the greeting, so the AI knows who is calling and their status. Unknown numbers get the standard greeting and can become new leads.
Can it tell a customer where their order is?
With an order system or CRM lookup, yes, during the call. Without one it takes the order number and creates a ticket for your team.
Does the AI change data in my CRM?
Only what you enable: notes, tickets and leads, each marked as AI-written. It never changes payment details or issues refunds.
How long does the integration take?
A REST API or readable database integration is typically a few days once we have access; core-banking or ERP integrations take longer and are scoped separately.
